Start with “Why”

Before you even mention a specific product or feature, you must clearly articulate the “why” behind the change. How will this new technology or process make employees’ lives easier, more productive, or more collaborative? Frame the change in terms of benefits to them, not just to the company. For example, instead of saying, “We are implementing hot desking to save money on real estate,” say, “We are introducing flexible seating to give you the autonomy to choose the best workspace for your needs each day.” If employees understand and believe in the vision, they will be partners in the change rather than obstacles.

 

Build a Coalition of Champions

You don’t have to lead the change alone. Identify a group of influential and tech-savvy employees from different departments to act as “champions” or “early adopters.” Give them early access to the new technology and involve them in the feedback process. These champions will not only provide valuable insights to help you refine the rollout, but they will also become powerful advocates within their own teams. A recommendation from a trusted peer is often far more effective than a directive from management.

 

Make Training Easy and Ongoing

Different people learn in different ways. Provide a variety of training resources to cater to all styles. This should include live training sessions (both in-person and virtual), on-demand video tutorials, and detailed, easy-to-search written guides. But training shouldn’t just happen at launch. Offer regular “office hours” where employees can drop in to ask questions. Post tips and tricks in your company’s chat channels. By making support easily accessible and ongoing, you ensure that employees feel confident and competent as they adapt to the new way of working. This continuous support is what makes change stick.
